Terms & Conditions

Effective date: 3 October 2026

1. About us and these terms

PharmMentor is operated by [full legal name], trading as PharmMentor. In these terms, ‘we’, ‘us’ and ‘our’ refer to that business. Email: support@pharmmentor.co.uk These terms apply to individual free accounts and paid subscriptions. Payment provisions apply only to purchases. Please read these terms before creating an account or making a purchase. Your paid subscription contract includes these terms, the subscription description and other information provided before purchase. Our Disclaimer explains the educational limitations of our resources. Our Privacy Policy and Cookie Policy explain how we handle personal information and cookies. Our separate Cancellation Information and Model Form explains statutory cancellation. These documents are available before purchase; we provide the applicable contract and cancellation information by email in a form you can keep.

2. Eligibility and your account

PharmMentor is designed for adults preparing for the UK pharmacy registration assessment and is not designed for anyone under 18. You must be at least 18 to create an account or purchase access. Our materials focus on UK practice and assessment requirements. Your account is for your own learning. Provide accurate information, keep your contact details up to date and protect your login details. Do not share or transfer accounts, use another person’s account, or create multiple free accounts to bypass limits. Institutional or shared access requires a separate agreement. Tell us promptly about suspected unauthorised access. We may require a password reset or temporarily restrict access to protect the account. Responsibility for unauthorised activity depends on the circumstances; we remain responsible for security failures on our part. Material device or simultaneous-session limits will be explained before purchase.

3. Resources, free access and accessibility

PharmMentor provides question banks, explanations, worked calculations, flashcards, mock assessments, reference links and revision tools. Your plan description identifies the included features and any usage limits. Separately priced products and future features are included only where expressly stated. Free accounts provide sample access to a limited selection of clinical and calculation questions in selected topics, so that you can try the platform before purchasing. The available topics, sample questions and any access limits are shown on the website. Free access does not include the full question banks, mock assessments or other paid features unless expressly stated. A free account does not automatically convert to a paid subscription. Payment is required only if you choose a paid plan and complete the purchase. We may update the selection of sample questions, topics and limits, as shown on the website. We will honour any specific free-access promotional commitment already agreed. Changes to free samples do not reduce the access promised under an existing paid subscription. The collection may be updated and expanded. Conditions for separate promotional offers, including eligibility, expiry, minimum commitments and any conversion to paid access, will be explained before you agree to the offer. Resources are in English and normally accessed online. You need an internet connection, suitable device and compatible browser. Relevant technical requirements, functionality and known material compatibility restrictions will be explained before purchase. Access does not include permanent offline copies unless expressly offered. Contact us about accessibility barriers or an alternative format. We will meet our obligations to make reasonable adjustments. Applications for adjustments to an official assessment must be made through its regulator or provider.

4. Orders and payment

Before payment, we show the plan, total price including applicable taxes and unavoidable charges, billing frequency, access period and renewal status. A monthly equivalent for a longer plan does not mean payment is collected monthly. Payments are processed through Stripe. You must be authorised to use the payment method. You can correct your order before paying; optional extras require your agreement. The paid subscription contract begins when we confirm acceptance or activate paid access, whichever happens first. We return any payment for an order we cannot accept. Paid access starts immediately after payment is accepted and the immediate-access requirements in section 8 are completed. Your confirmation states the access and billing arrangements. We or Stripe may retry a failed authorised payment. We will notify you and allow a reasonable opportunity to resolve it before restricting access, unless an urgent fraud or security concern requires earlier action. Please report duplicate charges or billing errors.

5. Subscription plans and renewal

Monthly subscriptions renew automatically each month. Six-monthly subscriptions renew automatically every six months. Payment is taken upfront for the whole billing period until renewal is cancelled. Annual access is a one-off purchase for 12 months. It expires automatically and does not renew. A further annual payment requires a new purchase. The renewal amount and date are shown in your billing information. We send renewal reminders appropriate to the plan and any notices required by law. Trial or discounted conversions, including the subsequent charge and cancellation arrangements, will be explained before you agree. Plan changes, upgrades and paid additions take effect on the terms you accept at the time, including any immediate charge, credit or change to the renewal date.

6. Price changes

We may change prices for new purchases before an order is accepted. The price of access already paid for will not increase. For renewing subscriptions, future prices may change to reflect changes in taxes or mandatory charges, or increases or decreases in reasonable costs of providing your plan, including hosting, software, licensing, payment processing, content maintenance and support. Changes will be proportionate to the relevant cost change attributable to your plan, not unrelated increases or charges for optional extras. We will email at least 30 days before an increased renewal price applies, stating the new price, reason, affected renewal and cancellation route. It can apply only at a renewal after that notice period. You can cancel renewal before then and retain the access already paid for. Otherwise, the subscription renews at the notified price, subject to any further agreement required by law. We honour any agreed price guarantee.

7. Cancelling renewal and closing your account

To stop monthly or six-monthly renewal, open Settings, select Manage Billing and follow the cancellation steps in the Stripe customer billing portal. Alternatively, send a clear request to support@pharmmentor.co.uk or through our Contact page. Cancel before the next renewal to stop the next charge. We will confirm cancellation and your access end date. A request sent before renewal applies to that renewal even if confirmation follows later. Cancelling renewal leaves your current paid access in place until its expiry and does not itself entitle you to a refund. Annual access expires without cancellation. Statutory cancellation and remedies for problems are separate, as explained below. Non-use does not cancel, pause or extend access. A clear account-closure request also stops future renewals. We will explain its effect on access and saved progress; personal information is handled under our Privacy Policy.

8. Immediate access, cancellation and refunds

Paid purchases provide immediate digital access. Before completing the purchase, you must separately consent to supply starting during the initial 14-day cancellation period and acknowledge that your initial statutory right to cancel the digital-content contract ends when supply begins. We record this consent and acknowledgement and include them in your contract confirmation. Once the required consent and acknowledgement have been given, supply has begun and the required confirmation has been provided, that initial digital-content cancellation right is lost. We do not offer a voluntary cooling-off period or general money-back guarantee. Once that right has been validly lost, a change of mind, limited use, changed revision plans or an unsuccessful assessment result does not itself entitle you to a refund. Specific refund commitments and statutory remedies remain applicable. Where a statutory cancellation right remains available, the normal period runs from making the contract until the end of 14 days after that day. Send a clear cancellation statement using our contact details. The separate Cancellation Information and Model Form explains the process, refunds and any service elements. Using the form is optional; additional or extended rights required by law remain available. Starting a service element does not itself end its cancellation right. A lawful proportionate charge may apply where you expressly requested an early start and received the required information. A valid statutory cancellation is refunded without undue delay and within 14 days of notification, using the original payment method unless agreed otherwise, with no refund fee and only lawful deductions.

9. Educational use and planned AI flashcards

PharmMentor supports revision, not patient care. Do not use it for diagnosis, prescribing, dispensing, administration or actual patient-dose calculations. It is not a substitute for professional judgement, supervision or current authoritative guidance. Questions may simplify situations; answers depend on the stated context, assumptions and units. We take reasonable care with our resources, but errors or outdated information may occur. Report suspected inaccuracies. We are independent of the GPhC and PSNI; our materials are not official assessment papers or endorsed by those regulators. We do not guarantee a pass, registration or another outcome. Scores and cohort comparisons are revision indicators, not proof of competence or official pass marks. Comparisons reflect included PharmMentor results, not all assessment candidates. AI-assisted flashcards are in development and are not currently available. They are intended to provide optional revision based on questions you answered incorrectly, not a chatbot or user-prompt facility. AI-generated flashcards may contain errors or oversimplifications. Use them alongside the source questions, explanations and references. Individual pharmacist review should not be assumed unless expressly stated. We will explain the associated use of answer history in our Privacy Policy before launch and honour any specific availability commitment made at purchase.

10. Content protection and acceptable use

Protected content, software and branding belong to us or the relevant rights holders. You receive a personal, non-exclusive, non-transferable licence to use the resources made available through your free account or paid plan for your own learning during the applicable access period. It does not transfer ownership. Except where authorised or permitted by law, you must not copy, upload, publish, sell or distribute our protected materials, including through screenshots, recordings, messaging groups or shared drives. Do not scrape or extract content in bulk, bypass access controls, remove rights notices, or use protected materials to create competing products, external datasets or AI training resources. You may make your own revision notes. These restrictions preserve lawful copyright exceptions and accessibility uses, and reasonable use of relevant material for support, legal advice, evidence or reporting a concern. We do not own the clinical facts or knowledge you learn. Do not commit fraud, attack the platform, access another account, introduce malicious software or threaten or harass people. Do not facilitate cheating or upload, request or distribute confidential or restricted examination material. Honest complaints, reviews and lawful criticism are permitted.

11. External resources, privacy and feedback

Some questions require an external reference. Links identify sources without implying publisher affiliation or endorsement. External resources may require authorised access, geographical eligibility or a separate subscription, which your PharmMentor purchase does not provide. Known separately paid references needed for a material part of your plan will be disclosed before purchase. Third-party rights and access conditions apply. Links do not grant copying permission. We do not control external changes; report broken links or discrepancies. We remain responsible for our own resources and commitments. Our Privacy Policy explains use of account information, answer history, progress, payment-related information and support correspondence, including sharing, retention and your rights. Marketing and non-essential cookie choices are separate from these terms. Submit only material you may lawfully share, without identifiable patient information, confidential workplace records or complete card details. You retain rights in original feedback and allow us to use it to investigate, respond and improve PharmMentor. Publishing identifiable testimonials requires an appropriate separate basis.

12. Availability, changes and suspension

We take reasonable care to maintain PharmMentor, but cannot promise uninterrupted or fault-free access. We may correct content, update guidance, maintain security and make minor technical changes. Where reasonably practicable, we will give notice of significant planned maintenance and minimise disruption. Updates must not materially reduce the paid resources agreed. If a necessary legal, security or content change causes a material reduction that cannot be resolved through a reasonable alternative, you may end the affected subscription and receive an appropriate refund for access not supplied. Permanent discontinuation before expiry results in a refund for unused access. Any greater statutory remedy remains available. We may suspend or end access for serious or repeated breaches, significant security, fraud or legal risks, or payment remaining unpaid after notice and a reasonable opportunity to resolve it. Action will be proportionate; urgent risks may require immediate suspension. Otherwise, we normally explain a remediable problem and allow time to correct it. We will explain decisions unless unlawful or prejudicial to a legitimate investigation, keep temporary restrictions no longer than necessary and consider review requests. Termination stops future renewal charges. We refund any prepaid balance due after lawful, fair and proportionate deductions for losses caused by your breach, explaining any deduction. Serious misuse may lead to legal action. Any disclosure to advisers, law enforcement or an appropriate regulator must be individually assessed, lawful, necessary and proportionate.

13. Your statutory rights and our responsibility

Nothing in these terms removes your statutory consumer rights or a binding commitment we have made. Where applicable, digital content must be of satisfactory quality, fit for its relevant purpose and as described, and services provided with reasonable care and skill. Depending on the circumstances, remedies include repair, replacement, repeat performance, a price reduction, refund or compensation. Please report problems so that we can investigate and provide the remedy due. We are responsible for foreseeable loss caused by our breach or failure to use reasonable care and skill, but not loss we did not cause or could not reasonably foresee. Loss is foreseeable if obvious or known to both parties as a possibility when contracting. We do not exclude liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation or anything that cannot lawfully be excluded. If our digital content damages your device or other content through a failure of reasonable care and skill, the applicable repair or compensation rights remain available.

14. Support and complaints

Use the question-feedback facility, our Contact page or support@pharmmentor.co.uk. Include your account email and enough detail to identify the issue. Relevant question references, order details or screenshots may help. We aim to acknowledge complaints within five working days and respond within 14 working days, with updates if investigation takes longer. Working days exclude weekends and bank holidays in England and Wales. Statutory deadlines still apply. When giving the outcome, we will explain any available alternative dispute resolution arrangement, its provider and access details, and whether we are required or willing to participate. We provide required information in a form you can keep. Independent advice, payment disputes and court proceedings remain available.

15. Changes to these terms and governing law

We may update terms for future purchases. The version agreed at purchase governs that purchase. Changes affecting an existing subscription are limited to legal requirements, necessary security measures or minor operational adjustments that do not materially reduce your rights or paid benefits. Other changes require agreement where the law requires it. We will explain changes in advance where reasonably possible. If a necessary change materially disadvantages you, you may end the affected subscription before it applies and receive an appropriate refund for prepaid access not supplied. Accrued rights remain unaffected. Price changes follow section 6. We may transfer the agreement with a genuine business transfer or reorganisation if your rights and promised service are not materially reduced, and will notify you. If a provision is unenforceable, the remainder continues where it can reasonably operate. Delaying enforcement does not waive a right. These terms are governed by the law of England and Wales. Proceedings may be brought there; residents of Scotland or Northern Ireland may also use the courts where they live. Mandatory consumer protections and court rights remain unaffected.
